The Ensora Booking Policy
This Agreement is made between The Ensora, operated under The Ensora Collective Inc., and the Client(s) listed on the booking form. By submitting payment, the Client acknowledges and agrees to the following terms.
By proceeding with online reservation and paying the reservation fee, the Client confirms that they have read, understood, and agreed to all terms and conditions associated with this policy. The reservation fee serves as the Client’s acknowledgment and acceptance of these terms in lieu of a physical signature.
1. PACKAGE & PAYMENT

Remaining balance is due 30 days before the ceremony.

Payments may be made by e-transfer or online by credit card.

Reservation fees are non-refundable, for cancellations see Section 5.
-
For any additional charges, payment can be made on-site by credit card immediately after the event.

If the remaining balance is not paid by the stated due date, a late payment fee equal to 8% of the outstanding balance will apply. This fee reflects administrative and payment processing costs and is applied once per overdue balance.

For overdue balances, payment of the outstanding amount and applicable late payment fee must be settled by credit card using The Ensora’s on-site card reader. Alternative payment methods may not be accepted.

All outstanding balances and applicable fees must be fully settled before the ceremony begins. The Ensora reserves the right to delay access to the ceremony space and officiant-led services until payment is completed.

Failure to complete payment before the scheduled ceremony time does not constitute a cancellation by The Ensora and does not entitle the Client to a refund.
2. RENTAL TERMS & ACCESS

Reservation time includes arrival, ceremony, photos, and departure.

Access to The Ensora is available 5 minutes before the confirmed reservation time for the couple and guests to arrive.
To ensure a smooth schedule for all ceremonies, early arrival or early access to the venue is not available.
The ceremony will begin within the reserved time once the couple and guests are ready. -
The Ensora is fully setup as a ready-to-use minimalist ceremony venue. No additional decorations, candles, balloons, or confetti are permitted.

Food and drinks from outside are not permitted within the ceremony space.
3. GUEST CAPACITY & ATTENDANCE POLICY
Each service at The Ensora has a maximum guest capacity established based on venue operations, safety considerations, and service planning.

Legal Signing Ceremony accommodates a maximum of 8 guests.

The Ensora Celebration accommodates a maximum of 15 guests.
Every attendee, including infants and children of any age, counts as one guest, regardless of whether a seat is required or occupied.
Your final attendance forms part of your booking agreement and must be communicated to The Ensora in advance. Any increase in guest count requires prior approval before the ceremony.
If your final attendance exceeds the maximum guest capacity of your booked service, the original service arrangement will no longer apply.
For bookings exceeding the guest capacity of the Legal Signing Ceremony, the booking will automatically be converted to The Ensora Celebration, subject to operational availability. The applicable service difference must be paid before the ceremony begins.
The Ensora Celebration service arrangement includes:

Maximum guest capacity of 15 guests

1-hour venue use
-
1-hour professional photography, where photography is included in the booking
If the required service arrangement cannot be accommodated due to venue scheduling or operational limitations, attendance will be limited to the confirmed guest capacity.
Final attendance exceeding the maximum guest capacity of The Ensora Celebration cannot be accommodated.
4. SAFETY POLICY
The Ensora is an intimate ceremony space designed for a calm, safe, and enjoyable experience. All guests are expected to follow reasonable safety instructions from our team throughout their visit. If any behaviour creates a safety concern or reasonable safety instructions are not followed, our team may pause the ceremony until the situation has been resolved. Where necessary, individuals may be asked to leave the ceremony space before the ceremony resumes. Any delay resulting from a safety-related interruption will not extend the scheduled ceremony time.

Children: Children are welcome at The Ensora and must remain under the direct supervision of a parent or guardian at all times. Running, climbing, jumping, or playing on furniture, fixtures, window ledges, décor, or ceremony installations is not permitted.

Pets: The Ensora is pet-friendly. All pets must remain under the supervision of their owner and should be calm throughout the session. A restoration fee may apply if additional cleaning or damage is required.
The Client is responsible for ensuring that all members of their party and invited guests comply with this Safety Policy throughout their visit.
5. LATE ARRIVAL & OVERAGE
Please arrive on time. If the ceremony start time is delayed but can still be completed within the reserved period, The Ensora will proceed as planned without penalty. Late arrival may reduce the available time for your ceremony, venue use, and any services booked within your reservation.
Reservations have fixed start and end times and are not automatically extended due to late arrival.
If additional time beyond the reserved period is required due to late arrival, an extension may be possible only when scheduling permits and is subject to the availability of the venue and applicable service providers.
When an extension can be accommodated, the following overage fees apply:

Venue: $250 + GST per additional 30 minutes

Officiant: $95 + GST per additional 30 minutes

Photography: $300 + GST per additional 30 minutes
Overage time cannot be guaranteed and is not available as a pre-bookable extension or upgrade.
6. RESCHEDULE & CANCELLATIONS

One free reschedule may be offered with 30 days’ notice, subject to availability.

Cancellations made 3 months or more in advance may transfer the reservation fee once to another person booking within 1 year of the cancellation date. Written notice is required with the name, date, and time of the new booking.

Cancellations made less than 3 months in advance are non-refundable.

Reservation fees, payments, credits, and bookings associated with The Ensora may only be applied to The Ensora services. They may not be transferred, exchanged, or credited toward services offered by Vancity Officiant or any other brand, service, or agreement. Any transfer, extension, exception, or accommodation offered by The Ensora is provided solely at The Ensora’s discretion and does not modify or waive the original terms of this agreement.
7. PACKAGE UPGRADES & DOWNGRADES

Bookings may be upgraded at any time, subject to availability and any applicable price difference.

Once a booking has been confirmed, packages may not be downgraded, and previously paid amounts are non-refundable.
8. EMERGENCY OR FORCE MAJEURE

In case of accident, power outage, or other unforeseeable events preventing service, The Ensora will offer an alternate date or refund.

The Ensora holds no liability for consequential or punitive damages.
9A. PHOTOGRAPHY SERVICES
-
Photography services, if selected, are provided by an independent photographer. The Ensora only facilitates the booking and collects payment on the photographer’s behalf.

By choosing photography and paying the reservation fee, the Client agrees to all photography-related terms; this consent replaces the need for a physical signature.

All creative decisions, editing style, communication, deliverables, and service performance are the photographer’s responsibility. The Ensora is not liable for any concerns, dissatisfaction, or disputes related to the photography service.

Any issues regarding photos, delivery timelines, or edits must be addressed directly with the photographer.
-
If photography is included, the allocated photography time is part of the reserved booking period.
-
Lost coverage due to Client delays does not qualify for refunds or compensation.
9B. OFFICIANT SERVICES

All ceremonies at The Ensora are performed by a licensed officiant authorized by the BC Vital Statistics Agency.
-
The officiant’s role includes conducting the legal or symbolic ceremony, preparing and signing all required documents, and submitting the required marriage documents to BC Vital Statistics after the event.
-
The Client is solely responsible for obtaining a valid original BC Marriage Licence and bringing it to The Ensora on the day of the ceremony. The required Marriage Licence must be provided to the officiant before the marriage can be legally solemnized.

If the required Marriage Licence is unavailable, invalid, forgotten, or otherwise cannot be provided in time for the legal marriage to be completed within the reserved period, the reservation will not be automatically extended, rescheduled, or refunded.

Where appropriate, the Client may choose to proceed with a symbolic ceremony during the reserved period without legal solemnization. If the Client chooses not to proceed, the original booking remains non-refundable.

If the legal marriage cannot be completed within the reserved period and the Client wishes to complete it at another time, a new reservation will be required at the applicable rate.

The Ensora is not obligated to extend the reservation or wait for a Marriage Licence to be obtained or retrieved. If scheduling permits, The Ensora may, at its sole discretion, accommodate a short delay or additional time as a goodwill exception. Such accommodation is not guaranteed and does not create an entitlement to an extension.

The Ensora and its officiants are not liable for registration delays or the inability to legally solemnize the marriage resulting from missing, invalid, incomplete, or incorrect documents or information provided by the Client.

Clients may choose to have their own licensed officiant perform the ceremony at The Ensora. In such cases, package rates remain unchanged, as all Ensora packages include venue use, coordination, and preparation services regardless of who officiates.
10. CONTENT, STORYTELLING & MEDIA USE

The Ensora may photograph, record, document, or capture portions of the ceremony space, environment, décor, pets, venue setup, or general ceremony moments for storytelling, educational, website, social media, promotional, or media purposes.

The Ensora will make reasonable efforts to respectfully present and share ceremony-related content in a tasteful and appropriate manner, and will not intentionally share personal information, legal documents, marriage licence details, or highly sensitive identifiable information belonging to Clients or guests as part of public-facing content.

If Clients have significant privacy or safety concerns regarding identifiable facial images or public-facing content usage, such concerns must be communicated in writing prior to the ceremony date so reasonable accommodations may be considered before photography, filming, or content creation takes place.
11. PRIVACY & PERSONAL INFORMATION

Personal information is collected solely for ceremony coordination and legal documentation.

The Ensora complies with applicable BC privacy laws regarding data handling.
